Planning Cheat Sheet

How to use Planning by WorshipTools in a web browser at every access level, from a first-week volunteer up to Organization Administrator. Choose your level below. Screens you can't reach get dimmed.

Buttons that do something real

  • Send invites (1), Send now and Send all invites email everyone listed. People don't get notified when you add them to a service, only when you press one of these.
  • The Send button in Messages posts to the whole thread straight away.
  • The red Delete link at the bottom of a service or song, and Delete 1 Service(s), which shows up when you tick a box on the Services list.
  • Remove from "Fusion Community Church" on a person's Edit screen.
  • When you just want to look, back out with Cancel or the ×. If you see Confirm, pressing OK only throws away what you typed.

Screens not checked live yet

  • Login page and invite email. I was already signed in, and I didn't sign out of the shared Fusion Worship login.
  • The invitation email, and what the Accepted ▾ menu offers. The request card and the result of answering it are now captured (cards 08 and 08b).
  • Each lower level's menus and its missing or greyed buttons. Planning has no "view as" option.
  • The ⚠ badge on some avatars in People. There's no tooltip and the docs don't mention it. It most likely means the person hasn't joined yet, but that needs checking.
  • The Decline option in the status menu. A Declined person showed only Accept and No Response.

Test accounts to set up

  1. Add four test people (People → Add Person), one at each of Scheduled Viewer, Viewer, Scheduler and Editor. Use email inboxes you control, because saving sends a "Join Fusion Community Church" invite.
  2. Give each one a Worship Team role.
  3. Make one test service several months out in its own service type, or name it "TEST - cheat sheet," with only the test people on it.
  4. On that service, press Send now under each test person only. Don't press Send invites, which would include anyone else on the service.
  5. Sign in as each test person in a separate Chrome profile or a guest window, and capture every card in this guide tagged test acct.
  6. Your current login covers the Administrator and Org Admin screens.

Built Nov 2, 2026 from a read-only walk-through of Fusion's Planning account using the shared Fusion Worship login, plus the WorshipTools docs. Nothing was saved or sent.
